Restore and reprocess payroll

Assess a whole-company restore, preserve the evidence and rebuild affected pays and later work in the right order.

Restore a suitable backup and reprocess the affected payroll.

When to use this method

Use this method when changing completed pay records requires a restore and you can recreate the work it removes.

Check the restore and reconstruction

Restore replaces the whole company database and removes all later changes, including correct pays and other work.

  • Identify the automatic archive matching the earliest affected period end and payday.

  • List the later pays and other removed work to recreate.

  • Include employee records and pay settings in the checklist. Note effective dates for rates or settings that affect rebuilt pays.

  • Keep the reconstruction checklist outside SmoothPay. Resolve any uncertainty about the archive or reconstruction before restoring.

Restore and rebuild

  1. Restore the selected archive using Backup & Restore.

  2. Correct the reopened pay and complete The pay process.

  3. Recreate the later pays and other removed work from your checklist in the order needed. Reapply changes before any pay that depends on them, using the dates and employee details applicable to each pay.

  4. Check the reconstruction against your checklist. Where corrected payslips are needed, send only the affected employees’ individual historical payslips using Payslip production.

For the date controls, refer to:

After completing each rebuilt pay, open the Staff screen and select the employee. In History, choose the relevant tax year and pay history entry, matching the period end, payday and batch. Record the Net pay shown for that completed pay. Compare it with the amounts actually paid or returned, and check separately for pending payments.

If a net payment difference remains, follow Settling net payment differences.

Follow the country filing guidance under Post correction in Correcting payroll overview.
