Record back pay

Check a retrospective entitlement, calculate the additional earnings and record back pay using the correct treatment.

Record additional earnings owed for an earlier period, such as a retrospective entitlement or rate change.

When to use this method

Use back pay when a new or changed entitlement creates additional earnings for an earlier period. If the correct earnings are already recorded and only money is outstanding, settle the payment rather than recording the earnings again.

Choose the back-pay code

  • Use an existing back-pay allowance code suitable for the entitlement.

  • If there is no suitable code, create an allowance code for that purpose using Creating Allowance codes.

Record the back pay

  1. Select the employee in the Payrun screen for the required pay.

  2. Assign the back-pay amount using the back-pay allowance code in the Allowances tab in the Payrun screen. Add a clear payslip note identifying the entitlement and periods covered.

  3. Follow the normal pay process described in The pay process.
