Imports overview

Understand what information can be imported into SmoothPay and where to access the available import options.

SmoothPay can import payroll information from external files and systems instead of requiring the same information to be entered manually.

Importing is particularly useful where payroll information already exists in another system, such as a time and attendance system, or where larger amounts of information need to be entered efficiently.

Accessing the import menu

The import options are accessed from the Payrun screen.

  1. Go to the Payrun screen.

  2. Click the Import button on the Payrun control bar.

Although the Import button is located on the Payrun screen, not every import relates to the current pay. Some import options can also be used to create or update employee details or assist with payroll migration.

What can be imported

Depending on the import method being used, SmoothPay can import information such as:

  • Pay transactions — including time and attendance information used when preparing employee pays.

  • Employee records — including creating new employee records or updating existing employee details.

  • Migration information — including information such as leave balances and pay history when moving payroll data into SmoothPay.

The information available to import depends on the import option or external system being used.

Importing compared with manual entry

Imported information is used in SmoothPay in the same way as equivalent information entered manually. The main advantage of importing is efficiency, particularly where the information has already been recorded elsewhere and can be transferred into SmoothPay rather than entered again.
