What the Recurring deduct tab contains and what it does

The Recurring deduct tab contains the recurring deduction entries applied to the employee currently selected in the Payrun.

The Recurring deduct tab is the Payrun counterpart to the Payments tab on the Staff screen. Both relate to the same underlying recurring deduction records for the employee, but they appear in different places depending on whether you are configuring the employee or reviewing the deduction within the current Payrun.

Recurring deductions are linked to the employee's recurring deduction setup and the applicable Agencies and Super funds records configured in the Codes screen.

They can be used for deductions that continue across multiple pays, including deductions that use a regular rate or amount and deductions that maintain a reducing balance.

Making changes

Recurring deduction entries are maintained using the interaction bar below the transaction column.

  • Use the + button to add a recurring deduction entry.

  • Use the - button to remove the selected recurring deduction entry.

  • Use the Edit button to make changes to the selected recurring deduction entry.

Recurring deduction entries for the employee's current pay are displayed in the transaction column when the Recurring deduct tab is selected.

Selecting a recurring deduction entry displays its information in the detail panel.

Options, settings and fields

Pay to

  • Type: Dropdown menu

  • Purpose: Selects the agency the recurring deduction is paid to.

  • Dependency: Depends on applicable agencies configured under Agencies and Super funds in the Codes screen.

  • Other functionality: None

Inactive

  • Type: Tick box

  • Purpose: Determines whether the recurring deduction is currently active.

  • Dependency: None

  • Other functionality: When selected, the recurring deduction is not applied. A reducing-balance deduction can also become inactive automatically when its balance is cleared.

Rate/Amount

  • Type: Numeric field

  • Purpose: Records the rate or amount used for the recurring deduction.

  • Dependency: How the value is interpreted depends on the calculation method associated with the selected agency.

  • Other functionality: None

Calculation method

  • Type: Display-only dropdown field

  • Purpose: Displays the calculation method used for the recurring deduction.

  • Dependency: Determined by the selected Pay to agency.

  • Other functionality: The calculation method is configured against the agency rather than from this window.

Priority

  • Type: Dropdown menu
    The available options are:

    • Compulsory

    • Protect net pay

    • Zero if unpayable

  • Purpose: Determines how the recurring deduction behaves when there is insufficient pay available to deduct the full amount.

  • Dependency: None

  • Other functionality: The specific behaviour of each priority option is covered in the recurring deduction setup guide.

Particulars

  • Type: Text field

  • Purpose: Records payment particulars associated with the recurring deduction.

  • Dependency: Relevant where the deducted amount is included in a banking transaction.

  • Other functionality: None

Payslip note

  • Type: Text field

  • Purpose: Records the note displayed for the recurring deduction on the employee's payslip.

  • Dependency: None

  • Other functionality: None

Reducing balance?

  • Type: Tick box

  • Purpose: Identifies the recurring deduction as a self-managing reducing balance.

  • Dependency: None

  • Other functionality: Selecting this option displays the Original balance and Balance owing fields.

Original balance

  • Type: Numeric field

  • Purpose: Records the original value of the debt or balance.

  • Dependency: Requires Reducing balance? to be selected.

  • Other functionality: None

Balance owing

  • Type: Numeric field

  • Purpose: Records the amount of the balance that remains to be deducted.

  • Dependency: Requires Reducing balance? to be selected.

  • Other functionality: The balance decreases as deductions are processed. Once the balance is cleared, the recurring deduction becomes inactive automatically.

Payrun transaction fields

Once the recurring deduction has been saved, the resulting entry for the current pay is displayed in the transaction column.

Selecting the entry displays its Payrun transaction details, including:

Date

  • Type: Date field

  • Purpose: Records the date the recurring deduction applies to.

  • Dependency: Matches the current period end date.

  • Other functionality: None

Type

  • Type: Display field

  • Purpose: Identifies the recurring deduction applied to the employee.

  • Dependency: Matches the Pay to agency selected in the Recurring payment setup.

  • Other functionality: None

Units

  • Type: Numeric field

  • Purpose: Displays the quantity or value used as the basis for calculating the recurring deduction.

  • Dependency: What is displayed depends on the calculation method configured for the selected agency.

  • Other functionality: For example:

    • Amount per pay period uses the number of pay periods as the Units value.

    • Earnings x Rate uses the applicable earnings value as the Units value.

Rate

  • Type: Numeric field

  • Purpose: Displays the rate or amount used to calculate the recurring deduction.

  • Dependency: Matches the Rate/Amount entered in the Recurring payment setup.

  • Other functionality: None

Value

  • Type: Calculated monetary field

  • Purpose: Displays the resulting value of the recurring deduction.

  • Dependency: Calculated from Units and Rate according to the applicable calculation method.

  • Other functionality: None

Payslip note

  • Type: Text field

  • Purpose: Records the note associated with the recurring deduction for payslip output.

  • Dependency: Matches the Payslip note entered in the Recurring payment setup.

  • Other functionality: None
