User access control (UAC)

Configure detailed access permissions for Read-only and User accounts in SmoothPay.

User access control (UAC) allows you to control which areas and functions of SmoothPay users can access beyond the broader access levels assigned through Manage users.

UAC can be used to control whether users can:

  • access particular areas of SmoothPay

  • view particular information or functions

  • edit information or use functions where editing is permitted

UAC primarily applies to users assigned Read-only or User access.

Choosing the UAC mode

The UAC mode is configured from the General tab of the Settings screen.

To change the UAC mode:

  1. Go to the Settings screen.

  2. Select the General tab.

  3. Click Edit button

Once in edit mode:

  1. Select the required option from User access control (UAC).

  2. Click Save.

The available options are:

  • Standard

  • Basic

  • Advanced

Standard

Standard uses the Read-only template and User template to control the permissions applied to users with those access levels.

Use Standard where the same permission settings can be applied to all Read-only users and all User-level users.

Basic

The Basic option remains available in SmoothPay but is not supported for current UAC configuration.

Use Standard or Advanced when configuring user access.

Advanced

Advanced provides the same Read-only and User templates while also allowing permissions to be configured for individual users.

Use Advanced when individual users need different permissions from the standard template for their access level.

Accessing User access control

After configuring the required UAC mode:

  1. Click your user name in the upper-right corner of SmoothPay.

  2. Select User access control (UAC).

The User access control window opens.

The left side of the window contains the available templates and, when Advanced UAC is enabled, individual users.

The right side contains a list of SmoothPay procedures with View and Edit permission columns.

Understanding the permission settings

Each procedure can have one of the following access states.

No access

If neither View nor Edit is ticked, the user cannot access that procedure.

View

A tick under View allows the user to access and view that procedure without editing it.

Edit

A tick under Edit allows the user to access and make changes within that procedure.

Granting Edit access also provides the access required to view the procedure, so a separate View tick is not required.

Configuring the Read-only template

The Read-only template controls the permissions applied to users with Read-only access.

To change the template:

  1. Select Read-only template from the list on the left.

  2. Review the procedures displayed on the right.

  3. Click the applicable View permission to allow or remove access to a procedure.

  4. Continue until the required Read-only permissions have been configured.

  5. Click Save.

Read-only accounts cannot be granted Edit permissions through the Read-only template.

Removing the View permission prevents Read-only users from accessing that procedure.

Configuring the User template

The User template controls the permissions applied to users with standard User access.

To change the template:

  1. Select User template from the list on the left.

  2. Review the procedures displayed on the right.

  3. Set each applicable procedure to:

    • No access — remove both View and Edit access.

    • View — allow the procedure to be viewed without editing.

    • Edit — allow the procedure to be accessed and edited.

  4. Continue until the required User permissions have been configured.

  5. Click Save.

The User template provides the baseline permission settings for User-level accounts.

Configuring individual users with Advanced UAC

When Advanced UAC is enabled, individual users are displayed in the list beneath the Read-only and User templates.

This allows an individual user's permissions to differ from the standard template for their access level.

To configure an individual user:

  1. Open User access control (UAC).

  2. Select the required user from the list on the left.

  3. Review their permissions on the right.

  4. Set each applicable procedure to:

    • No access — remove both View and Edit access.

    • View — allow the procedure to be viewed without editing.

    • Edit — allow the procedure to be accessed and edited.

  5. Click Save before selecting another user or closing the window.

Changes made while an individual user is selected apply to that user rather than changing the standard template.

Quick set

The Quick set button can be used to return the selected user to the standard permission template associated with their broad access level.

  • Users with Read-only access are reverted to the Read-only template.

  • Users with User access are reverted to the User template.

This removes any individual permission changes that have been applied to that user and restores the applicable template settings.

Saving your changes

Click Save after changing a template or individual user's permissions.

If changes have not yet been saved, SmoothPay displays an unsaved changes message at the bottom of the User access control window.

Click Close when you have finished managing UAC permissions.
