Creating employee records

Create a new employee record and complete the fundamental information required before processing the employee's pay.

A new employee record is created from the Staff screen.

This guide covers the minimum areas that should be reviewed when creating an employee. Additional settings may be required depending on the employee's circumstances and your payroll jurisdiction.

Create the employee record

  1. Click the + button at the bottom of the employee column.

  2. SmoothPay creates a new employee record and opens the Personal tab in edit mode.

Complete the Personal tab

Enter the employee's basic personal information.

As a minimum, this should include:

  • First name

  • Surname

  • Email address

  • Date of birth

Other personal and contact information, such as the employee's address, can also be entered where applicable.

Complete the Employment tab

The employee's fundamental employment and pay settings are configured under the Employment tab, within the Contract tab.

As a minimum, review and complete:

  • Start date

  • Contract

  • Pay cycle

  • Definition of a working week

The Definition of a working week section contains the settings used to describe the employee's standard working arrangement, including:

  • Days per week

  • Annual salary

  • Hourly rate

  • One day equals

  • One week equals

These settings establish the employee's normal pay basis and are also used by other areas of SmoothPay.

Add bank account details

If the employee will be paid by Direct credit, their bank account details also need to be configured under the Bank tab.

Complete the Super tab

Review and complete the employee's applicable superannuation settings.

The requirements and options available vary depending on the payroll jurisdiction.

The employee's tax settings should also be completed before they are included in payroll.

Migrating an employee from another payroll system

If the employee is being brought across from another payroll system, creating the employee record may only be part of the setup required.

Additional information may need to be brought into SmoothPay, including existing payroll and pay history information.
