What the Apprenticeship tab contains and what it does

The nested Apprenticeship tab contains settings used to identify an employee as an apprentice and track the hours completed during their apprenticeship.

These settings determine whether apprenticeship tracking is active for the employee, when the apprenticeship began, and whether completed hours appear on the employee’s payslip.

Making changes

The Apprenticeship nested tab contains a detail panel only.

Click the Edit button to place the employee record into edit mode. Make the required changes, then select Save to apply them or Cancel to close the window without saving.

Options, settings and fields

The available settings work together as a single apprenticeship-tracking function. The Apprentice? setting must be selected before the remaining fields and options become functional.

Apprentice?

  • Type: Tick box

  • Purpose: Identifies the employee as an apprentice within SmoothPay.

  • Dependency: None

  • Other functionality: Enables the remaining apprenticeship settings and allows SmoothPay to track the hours completed during the employee’s apprenticeship.

Date apprenticeship started

  • Type: Date field

  • Purpose: Records the date the employee’s apprenticeship began.

  • Dependency: The Apprentice? option must be selected.

  • Other functionality: None

Hours completed

  • Type: Numeric field

  • Purpose: Records the total number of hours the employee has completed during their apprenticeship.

  • Dependency: The Apprentice? option must be selected.

  • Other functionality: Updates automatically as relevant hours are worked. The value can also be entered or adjusted manually when migrating an employee into SmoothPay from another system.

Show hours completed on payslip?

  • Type: Tick box

  • Purpose: Controls whether the employee’s completed apprenticeship hours appear on their payslip.

  • Dependency: The Apprentice? option must be selected.

  • Other functionality: Displays the value from the Hours completed field as a total on the employee’s payslip.
