Nested Entitlement tab

What the Entitlement nested tab contains and what it does

The Entitlement nested tab displays the employee-level entitlement settings for the leave type currently selected in the Leave type data column.

These settings determine whether and how the selected employee accrues and consumes that leave type. They can also be used to apply an employee-specific entitlement that differs from the default settings established for the leave code in the Codes screen.

The fields displayed may vary depending on the payroll jurisdiction and the configuration of the selected leave code.

Making changes

The Entitlement nested tab contains a detail panel linked to the leave type currently selected in the Leave type data column.

Changes are made using the interaction bar beneath the Leave type data column

  • + button: Redundant

  • − button: Redundant

  • Edit button: Opens the selected leave type’s employee-level entitlement settings for editing.

You cannot add or remove leave types from this area, that is controlled in the Codes screen.

Options, settings and fields

Standard accrual settings

This area defines how the employee's selected leave code will work, when it will accrue and how much leave should accrue.

Accrue and consume

  • Type: Dropdown menu
    The available options are:

    • No entitlement

    • Weeks

    • Days

    • Hours

    • Percentage per pay

  • Purpose: Sets the unit or method used to accrue and consume the selected leave type.

  • Dependency: Depending on the leave code and jurisdiction, this may be locked to a certain method where the legislation provides no flexibility for other methods.

  • Other functionality: None

Accrual rate

  • Type: Numeric field

  • Purpose: Records the amount of leave the employee accrues for the selected leave type. For every Accrue and consume method other than Percentage per pay, the value used is how much is accrued per completed year. For Percentage per pay, it records the percentage used to calculate each transactional accrual.

  • Dependency: Depends on the method selected under Accrue and consume.

  • Other functionality: None.

Capped at

  • Type: Numeric field

  • Purpose: Sets the maximum balance that can be accumulated for the selected leave type.

  • Dependency: Availability and application depend on the selected leave code and its jurisdictional rules.

  • Other functionality: The cap may apply to either the anniversary balance or the to-date balance, depending on how the leave type is configured.

Last anniversary

  • Type: Date field

  • Purpose: Records the employee’s current last anniversary date for the selected leave type.

  • Dependency: Primarily applies to anniversary-based accrual methods.

  • Other functionality: The date is normally established from the employee’s start date but may differ according to the leave-code configuration and local rules.

Cost centre

  • Type: Dropdown menu

  • Purpose: Assigns the cost centre used for the selected leave type for this employee.

  • Dependency: Available cost centres are configured under the Cost centre (account) codes category in the Codes screen.

  • Other functionality: None.

Counts towards TOIL/Flexi-time?

  • Type: Checkbox

  • Purpose: Includes transactions using the selected leave type when SmoothPay performs automatic TOIL, RDO or Flexi-time calculations.

  • Dependency: Requires the relevant automatic TOIL, RDO or Flexi-time functionality to be configured.

  • Other functionality: None.

Additional annual accrual

This area allows a separate additional entitlement to accrue for the selected leave type on a schedule that differs from the employee’s main leave anniversary.

It should be used for a genuinely separate annual accrual, rather than simply to increase the employee’s standard annual entitlement.

Additional annual accrual of

  • Type: Checkbox and numeric field

  • Purpose: Enables the additional annual accrual and records the amount to be accrued.

  • Dependency: The checkbox must be selected before the additional-accrual settings are applied.

  • Other functionality: All required fields in this area must be completed for the additional accrual to operate.

Every

  • Type: Numeric field

  • Purpose: Records how many years occur between each additional accrual.

  • Dependency: Requires Additional annual accrual of to be enabled.

  • Other functionality: Works with the additional-accrual amount and commencement date.

Commencing

  • Type: Date field

  • Purpose: Records the date from which the additional accrual schedule begins.

  • Dependency: Requires Additional annual accrual of to be enabled.

  • Other functionality: None.

Last accrued on

  • Type: Date field

  • Purpose: Displays the date on which the additional entitlement was most recently accrued.

  • Dependency: Requires an additional annual accrual to be configured.

  • Other functionality: None.

Indicative balance

This area provides an indicative balance, ignoring the cap associated with the balance.

Balance

  • Type: Calculated balance display

  • Purpose: Displays the current balance for the selected leave type. If there is a cap, the balance shown here is indicative and does not reflect a cap applied to the leave type.

  • Dependency: Depends on the selected leave type and its entitlement settings.

  • Other functionality: None

Additional functionality

Print button

The print button appears on the interaction bar below the data column

Click the Print button to open the available options.

Typical options are:

  • Entitlement summary: Provides a summary of all leave types for the employee

  • Leave valuation: Provides a leave valuation of the selected leave type for the employee.

Information button

The Information button appears beside the balance.

Selecting it displays a detailed breakdown of how the employee’s to-date balance has been calculated.
