Codes screen overview

A fundamental overview of the Codes screen

The Codes screen is where the codes, classifications and reference information used throughout SmoothPay are created and maintained.

These codes provide many of the selectable options used when configuring employees, processing pays, calculating leave and deductions, allocating payroll costs, and producing accounting, banking and other payroll outputs.

Different categories of codes are maintained separately so that each type can control the behaviour relevant to its purpose.

Typically, you use this area to:

  • create and maintain Work, Allowance and Leave codes used to form part of employees gross pay

  • configure Agencies and Super funds used for deductions, contributions and payments

  • create Sundry deduction codes

  • maintain Cost centre and other accounting or costing codes

  • maintain Jobs, Activities and other tracking codes

  • create organisational codes such as Departments, Branches, Awards, Roles and positions

  • configure GST rates where applicable

  • create and maintain Overheads used for payroll costing

The categories, terminology and options available may vary depending on the jurisdiction and accounting configuration of the payroll.

Understanding the Codes screen

The Codes screen contains a number of separate code categories, including:

  • Agencies and Super funds

  • Allowance codes

  • Sundry deduction codes

  • Work codes

  • Leave codes

  • Cost centre account codes

  • Job codes / Tracking 1

  • Activity codes / Tracking 2

  • Departments

  • Branches

  • Awards

  • GST rates

  • Roles and positions

  • Overheads

Each category contains the records relevant to that part of the payroll.

For example, Work, Leave and Allowance codes provide pay items that can be used when processing employee earnings, while Agencies and Sundry deduction codes support deductions and other payments. Cost centre and tracking codes provide the accounting and costing structure used elsewhere in SmoothPay.

Codes can also affect how transactions are calculated, classified, costed and presented in payroll outputs. Because of this, changes to an existing code should be made with consideration for where that code is already being used.
