What the Timesheets tab contains and what it does

The Timesheets tab contains company-wide defaults used when configuring timeclock rules for new employees.

These defaults control official start and end times, clocking-rounding rules and automatic meal-break rules used with supported time and attendance imports.

The tab also contains company-wide rules that determine which Work codes are assigned to weekend hours entered through the Timesheet function or imported from supported timeclock devices.

The fields and options available may vary depending on the jurisdiction the payroll is configured for.

Making changes

The Timesheets tab contains a detail panel only.

Changes are made using the Edit button.

Options, settings and fields

For ease of reference, the available settings are grouped into the following areas:

  • official start and stop times and clocking-rounding rules

  • meal-break rules

  • weekend work classification

  • sundry import rules

Official start and stop times and clocking-rounding rules

These settings provide the default timeclock rules assigned to new employees.

The corresponding employee-level settings control how raw clock-in and clock-out times imported from supported Lauranka or ZKTeco devices are interpreted. They can restrict imported time to official shift boundaries and round clocking times to specified intervals.

Official start

  • Type: Time field

  • Purpose: Sets the default earliest time from which imported working time can be counted for new employees. Imported clock-in time before the official start time is excluded from the calculated working time.

  • Dependency: Applies to supported Lauranka or ZKTeco imports when the corresponding employee-level timeclock rules are used.

  • Other functionality: None

Official end

  • Type: Time field

  • Purpose: Sets the default latest time until which imported working time can be counted for new employees. Imported clock-out time after the official end time is excluded from the calculated working time.

  • Dependency: Applies to supported Lauranka or ZKTeco imports when the corresponding employee-level timeclock rules are used.

  • Other functionality: None

Start rounding

  • Type: Dropdown menu

    The available options are:

    • No rounding

    • Previous 6-minute interval (.1 hour)

    • Next 6-minute interval (.1 hour)

    • Previous 15-minute interval (.25 hour)

    • Next 15-minute interval (.25 hour)

    • Previous 30-minute interval (.5 hour)

    • Next 30-minute interval (.5 hour)

  • Purpose: Sets the default rule used to round an imported clock-in time for new employees. A previous-interval option rounds the clock-in time down to the preceding interval. A next-interval option rounds it up to the following interval.

  • Dependency: Applies to supported Lauranka or ZKTeco imports when the corresponding employee-level timeclock rules are used.

  • Other functionality: None

End rounding

  • Type: Dropdown menu

    The available options are:

    • No rounding

    • Previous 6-minute interval (.1 hour)

    • Next 6-minute interval (.1 hour)

    • Previous 15-minute interval (.25 hour)

    • Next 15-minute interval (.25 hour)

    • Previous 30-minute interval (.5 hour)

    • Next 30-minute interval (.5 hour)

  • Purpose: Sets the default rule used to round an imported clock-out time for new employees. A previous-interval option rounds the clock-out time down to the preceding interval. A next-interval option rounds it up to the following interval.

  • Dependency: Applies to supported Lauranka or ZKTeco imports when the corresponding employee-level timeclock rules are used.

  • Other functionality: None

Meal-break rules

These settings provide the default automatic meal-break rules assigned to new employees.

The corresponding employee-level settings automatically deduct an unpaid meal break where an employee does not clock out for their break. The deduction can be applied after a specified number of continuous working hours or once per shift.

Meal break of

  • Type: Numeric field

  • Purpose: Sets the default number of hours to deduct for an unpaid meal break. Works together with Every, Per shift, and the weekend-exclusion options to determine when the deduction is applied.

  • Dependency: Applies to supported Lauranka or ZKTeco imports when the corresponding employee-level meal-break rule is used.

  • Other functionality: None

Every

  • Type: Numeric field

  • Purpose: Sets the default number of continuous working hours after which the meal-break deduction is applied. The meal-break amount can be deducted again for each completed interval of continuous work.

  • Dependency: Requires a value under Meal break of.

  • Other functionality: None

Per shift

  • Type: Tick box

  • Purpose: Sets the default rule to apply the meal-break deduction once for each shift rather than at repeated hourly intervals. If selected, this is used instead of the Every field.

  • Dependency: Requires a value under Meal break of.

  • Other functionality: None

Saturday

  • Type: Tick box

  • Purpose: Sets the default rule to prevent the automatic meal-break deduction from being applied to Saturday shifts.

  • Dependency: Requires the meal-break rule to be configured.

  • Other functionality: None

Sunday

  • Type: Tick box

  • Purpose: Sets the default rule to prevent the automatic meal-break deduction from being applied to Sunday shifts.

  • Dependency: Requires the meal-break rule to be configured.

  • Other functionality: None

Classify timesheet or timeclock import entries for weekend work as

Unlike the preceding settings, the weekend classification settings are company-wide rules rather than defaults assigned to new employees.

They determine which Work code SmoothPay assigns to hours completed on Saturday or Sunday when time is entered using the Timesheet function or imported from a supported timeclock device.

Saturday

  • Type: Dropdown menu

  • Purpose: Determines the Work code assigned to Saturday hours entered through the Timesheet function or imported from a supported timeclock device.

  • Dependency: The available options are Work codes configured in the Codes screen. Selecting No rule prevents a specific Saturday Work code from being assigned by this setting.

  • Other functionality: This is a company-wide rule and is not a new-employee default.

Sunday

  • Type: Dropdown menu

  • Purpose: Determines the Work code assigned to Sunday hours entered through the Timesheet function or imported from a supported timeclock device.

  • Dependency: The available options are Work codes configured in the Codes screen. Selecting No rule prevents a specific Sunday Work code from being assigned by this setting.

  • Other functionality: This is a company-wide rule and is not a new-employee default.

Sundry import rules

The Sundry import rules area may contain additional import settings depending on the jurisdiction the payroll is configured for.

Where no applicable sundry import rules are available, this area may contain no settings.
