Nested Timesheet tab

What the Timesheet tab contains and what it does

The Timesheet nested tab contains employee-level rules used when processing time from supported time and attendance systems.

Most settings on this tab control how raw clock-in and clock-out data imported from Lauranka or ZKTeco is interpreted. The tab also contains settings that affect how weekend work is treated by the Timesheet function.

Making changes

The Timesheet nested tab contains a detail panel only.

Click the Edit button to place the employee record into edit mode. Make the required changes, then select Save to apply them or Cancel to close the window without saving.

Options, settings and fields

For ease of reference, the available options, settings and fields are grouped into the following areas:

  • special timeclock import rules

  • official start and stop times and clocking-rounding rules

  • meal-break rules

  • weekend RDO/TOIL time banking

Special timeclock import rules

These settings determine whether the rules available on this tab are applied to the employee.

Use special timeclock import rules for this employee?

  • Type: Tick box

  • Purpose: Enables the employee-level timeclock and weekend time-banking rules available on this tab.

  • Dependency: None

  • Other functionality: None of the remaining settings on this tab have any effect unless this option is selected.

Official start and stop times and clocking-rounding rules

These settings control how raw clock-in and clock-out times imported from Lauranka or ZKTeco devices are interpreted.

They can restrict imported time to the employee’s official shift boundaries and round clocking times to specified intervals.

Official start

  • Type: Time field

  • Purpose: Records the earliest time from which imported working time can be counted. Imported clock-in time before the official start time is excluded from the calculated working time

  • Dependency: Requires Use special timeclock import rules for this employee? to be selected and applies only to supported Lauranka or ZKTeco imports.

  • Other functionality: None

Official end

  • Type: Time field

  • Purpose: Records the latest time until which imported working time can be counted. Imported clock-out time after the official end time is excluded from the calculated working time.

  • Dependency: Requires Use special timeclock import rules for this employee? to be selected and applies only to supported Lauranka or ZKTeco device imports.

  • Other functionality: None

Start rounding

  • Type: Dropdown menu
    The available options are:

    • No rounding

    • Previous 6-minute interval (.1 hour)

    • Next 6-minute interval (.1 hour)

    • Previous 15-minute interval (.25 hour)

    • Next 15-minute interval (.25 hour)

    • Previous 30-minute interval (.5 hour)

    • Next 30-minute interval (.5 hour)

  • Purpose: Determines how an imported clock-in time is rounded. A previous-interval option rounds the clock-in time down to the preceding interval. A next-interval option rounds it up to the following interval.

  • Dependency: Requires Use special timeclock import rules for this employee? to be selected and applies only to supported Lauranka or ZKTeco device imports.

  • Other functionality: None

End rounding

  • Type: Dropdown menu
    The available options are:

    • No rounding

    • Previous 6-minute interval (.1 hour)

    • Next 6-minute interval (.1 hour)

    • Previous 15-minute interval (.25 hour)

    • Next 15-minute interval (.25 hour)

    • Previous 30-minute interval (.5 hour)

    • Next 30-minute interval (.5 hour)

  • Purpose: Determines how an imported clock-out time is rounded. A previous-interval option rounds the clock-out time down to the preceding interval. A next-interval option rounds it up to the following interval.

  • Dependency: Requires Use special timeclock import rules for this employee? to be selected and applies only to supported Lauranka or ZKTeco device imports.

  • Other functionality: None

Meal-break rules

These settings automatically deduct an unpaid meal break where an employee does not clock out for their break.

They can apply the deduction after a specified number of continuous working hours or once per shift.

Meal break of

  • Type: Numeric field

  • Purpose: Records the number of hours to deduct for an unpaid meal break. Works together with Every, Per shift, and the weekend-exclusion options to determine when the deduction is applied.

  • Dependency: Requires Use special timeclock import rules for this employee? to be selected and applies only to supported Lauranka or ZKTeco device imports.

  • Other functionality: None

Every

  • Type: Numeric field

  • Purpose: Records the number of continuous working hours after which the meal-break deduction is applied. The meal-break amount can be deducted again for each completed interval of continuous work.

  • Dependency: Requires a value under Meal break and Use special timeclock import rules for this employee? to be selected.

  • Other functionality: None

OR [_] Per shift

  • Type: Tick box

  • Purpose: Applies the meal-break deduction once for each shift rather than at repeated hourly intervals. If selected, is used instead of the Every field

  • Dependency: Requires a value under Meal break and Use special timeclock import rules for this employee? to be selected.

  • Other functionality: None

except on [_] Saturday

  • Type: Tick box

  • Purpose: Prevents the automatic meal-break deduction from being applied to Saturday shifts.

  • Dependency: Requires the meal-break rule to be enabled.

  • Other functionality: None

except on [_] Sunday

  • Type: Tick box

  • Purpose: Prevents the automatic meal-break deduction from being applied to Sunday shifts.

  • Dependency: Requires the meal-break rule to be enabled.

  • Other functionality: None

Convert weekend work to RDO/TOIL time banking

These settings determine whether qualifying weekend hours are transferred into the employee’s RDO or TOIL balance.

The terminology varies by jurisdiction. References to RDO may instead appear as TOIL, but the underlying function is the same.

Bank Saturday

  • Type: Tick box

  • Purpose: Identifies Saturday work for conversion into RDO/TOIL time banking in full

  • Dependency: Requires Use special timeclock import rules for this employee? to be selected and the relevant RDO/TOIL functionality to be configured. Applies only to the Timesheet function and supported Lauranka or ZKTeco device imports.

  • Other functionality: None

Bank Sunday

  • Type: Tick box

  • Purpose: Identifies Sunday work for conversion into RDO/TOIL time banking in full.

  • Dependency: Requires Use special timeclock import rules for this employee? to be selected and the relevant RDO/TOIL functionality to be configured. Applies only to the Timesheet function and supported Lauranka or ZKTeco device imports.

  • Other functionality: None
